Reporting to the CEO, Walkers Professional Services the successful candidate will be responsible to provide administrative and executive assistant support to the CEO, COO and Senior Management Team of Walkers Professional Services. Scope & Key Responsibilities To provide general administration and executive assistance including, without limitation: >> Liaising with internal and external stakeholders as appropriate and in accordance with the instructions of any member of the WPS Senior Management Team (“SMT”) >> Responding to internal and external telephone enquiries, and ensuring that every call is attended to in a professional and polite manner >> Meeting attendance and preparing first drafts of meeting minutes >> Providing administrative assistance with board meetings, regulatory inspections, audits and self-assessments >> Creating, editing, amending and storing of correspondence and documents in the appropriate electronic file, including the preparation of “blacklined” documents >> Booking meetings and general diary management including co-ordinating travel arrangements >> Assist with co-ordinating internal/external marketing and business development activities on behalf of the SMT >> Undertaking personal training and development activities as required including attendance at internal training sessions >> Supporting other members of the team and working collaboratively with them to complete work to a high standard and meet required deadlines >> Participating in ad hoc projects as and when required >> Carrying out any other duties commensurate with the purpose of the job, including the performance of duties outside normal working hours Key Skills and Qualifications >> Minimum of five years’ experience at Executive Assistant level within professional, financial, or legal services >> Proficiency with Microsoft Office products. The ability to work with Excel spreadsheets to analyse and present data. Experience with Visio and PowerPoint an advantage. >> Copy and audio typing speeds of at least 60 - 70 wpm with an accuracy of 98% >> Tact and diplomacy to deal with confidential matters >> Manage a complex and demanding workload and prioritise tasks and projects to meet work standards and personal performance targets >> Communicate clearly and effectively, both verbally and in writing, with people at all levels of understanding. This will include high quality correspondence >> Use and update computerised systems, including the intranet, databases, word processors, and spreadsheets, and genuine interest in developing IT skills >> Participate in continuously improving services through critically evaluating systems of work, promoting new ideas and actively developing service improvements >> Work in a flexible manner and respond to changing circumstances and emergency situations Walkers offers a dynamic working environment with opportunities for career progression and an excellent remuneration package, including a discretionary performance based bonus, pension and fully covered health insurance for employees and 5 weeks’ vacation.
